Kobo Toolbox
A free, open-source platform for collecting and analyzing field data — from beneficiary surveys and enumerator assessments to GPS-tagged evidence and decision-ready reports.
What is Kobo Toolbox?
KoboToolbox is a widely used, free tool for mobile data collection and analysis in humanitarian and development contexts. It lets you build forms, collect responses offline or online, and export or connect data to analysis and visualization tools. In this suite, Kobo Toolbox is the recommended engine for the data collection and analysis step of the program cycle.
Visit KoboToolboxCollecting data with KoboToolbox
KoboToolbox turns your M&E Plan data sources into live, structured forms that can be deployed in connected or low-connectivity environments.
Mobile data collection
Use KoboCollect on Android devices to gather surveys, photos, signatures, and audio directly from the field — no paper forms required.
Offline-first design
Collect data without internet. Forms and submissions are stored locally on the device and sync automatically when a connection is available.
Web forms for any device
Share Enketo web forms via link, email, or QR code. Respondents can complete them on phones, tablets, or computers without installing an app.
GPS and location capture
Record coordinates, trace boundaries, and map collection points. Location data helps link results to specific sites, communities, or service areas.
Skip logic, constraints, and consent
Build smart forms with branching, validation rules, required fields, and informed-consent screens to improve data quality and ethics.
Team coordination
Assign forms to enumerators, set user roles, and track submission progress across devices and locations from a central project dashboard.
Analyzing data with KoboToolbox
Once collection begins, KoboToolbox gives you multiple ways to review, export, and feed data into analysis and visualization workflows.
Flexible exports
Download data as XLS, CSV, SPSS, or Stata at any time. Export during collection to spot quality issues early, not just at the end.
Structured indicator tables
Map Kobo questions directly to your results framework indicators. One question can feed one or more indicators with the right disaggregation.
Built-in summaries and charts
View response counts, averages, and distributions inside the KoboToolbox interface. Filter by date, enumerator, or form version.
Map-based analysis
Plot submissions on a map to see geographic coverage, identify gaps, and check whether hard-to-reach areas are being under-represented.
Qualitative attachments
Photos, audio, and notes collected in Kobo can be coded and synthesized alongside quantitative indicators for a richer picture of change.
API and integrations
Connect KoboToolbox to Power BI, Tableau, Google Sheets, or custom dashboards via the REST API and keep visualizations up to date.
The Kobo data cycle
A five-step workflow that keeps field data aligned to your results framework from the first question to the final report.
- 1. Design
Build forms in the browser. Map questions to your M&E Plan, set validations, and translate into local languages.
- 2. Test
Pilot with a small group on the actual devices. Check skip logic, average time, and whether enumerators understand every question.
- 3. Deploy
Distribute forms to KoboCollect devices or share Enketo web links. Train enumerators on consent, device handling, and troubleshooting.
- 4. Monitor
Track submissions in real time, review incoming data, and export snapshots to catch quality issues while collection is still open.
- 5. Analyze & use
Export cleaned data, disaggregate by sex, age, geography, and feed findings into your results framework and dashboards.
How it connects to the other modules
- Theory of change — defines the assumptions and outcome statements that shape what questions you ask in the field.
- Results framework — provides the indicators, targets, and disaggregation that each Kobo form should capture.
- M&E Plan — specifies the source, method, frequency, and enumerator for each indicator, which KoboToolbox then operationalizes.
- Reporting & Visualization — receives exported or API-fed Kobo data and turns it into dashboards and one-page briefs for decision-makers.
Practitioner tips
- 1
Pilot forms before field deployment. Test skip logic, translations, and average completion time with a small group that mirrors your target respondents. Catch errors before they multiply.
- 2
Collect offline, upload when connected. KoboCollect works without a signal in the field. Sync completed submissions when the device reaches Wi-Fi or mobile data.
